
Wedding guest list: how to build it and track confirmations?
The guest list influences almost every wedding decision: venue, budget, catering, tables, transport, and invitations. The easiest is to build it before you start assigning seats.
Make an initial list without counting
Start by writing down the people you really want to have with you. Separate family, friends, colleagues and acquaintances. Don't try to reach a precise number immediately: you can adjust later.
Create priority levels
A main list and a backup list can help when the venue's capacity is limited. This method avoids randomly removing important people.
Prepare the right columns
Keep at minimum: name, contact details, family group, invitation sent, response, number of adults, children, special meal requirements and transport needs. This information will be useful up to the big day.
Set a response deadline
A clear date allows you to follow up with people who haven't replied. However, avoid sending multiple messages: a first follow-up and a final reminder are usually enough.
Anticipate changes
A confirmation is not always final. Keep the list editable until the date when the caterer and other vendors ask for the final headcount.
Once responses have stabilized, move on to the seating plan.
