Guest transport: shuttles, taxis and accommodations for a smooth wedding

When the town hall, the ceremony venue, the reception and the hotels are far apart, transport becomes a real organizational issue. Well anticipated, it goes almost unnoticed. Poorly anticipated, it can cause delays, lost guests and a complicated end to the evening.

Map routes as soon as the venue is booked

Note the exact addresses and travel times between:

1. the town hall ;
2. the ceremony venue ;
3. the reception hall ;
4. the main hotels ;
5. relevant train stations or airports.

Make estimates for times close to those of the wedding: a 25-minute trip on a Sunday morning can take much longer on a Saturday afternoon.

When is a shuttle useful?

A shuttle is particularly relevant when:

• many guests are coming from far away ;
• the venue is isolated ;
• parking is limited ;
• several hotels are grouped in the same area ;
• you want to make returns after the evening easier.

It can also simplify life for elderly guests or families without a car.

Prepare realistic schedules

Don't have a shuttle leave at the exact time the ceremony ends. Allow time for guests to exit, chat, collect their things and board the vehicle.

Build in a buffer and clearly communicate the departure time, not just the time when guests should start heading toward the bus.

Organize the late-night return

This is often the most important trip. You can plan several departures: for example one after dessert, a second later in the night and possibly a final run at closing.

For small groups, a list of local taxis or VTCs can complement the shuttle.

Choose a few reference accommodations

It is not necessary to book rooms for everyone. Rather select two or three establishments at different price levels and pass the contact details to guests.

If a group code or a block of rooms is negotiated, specify the booking deadline.

Parking and signage

If guests are coming by car, check:

• the actual number of spaces ;
• parking lighting ;
• the path between the parking and the venue ;
• the possibility of leaving a car on site overnight ;
• the time at which it must be picked up the next day.

A small sign at the entrance avoids many calls to the couple on the big day.

Centralize the information

Send a single message before the wedding with addresses, shuttle times, parking and hotels. You can also add this information to your digital invitation or your wedding website.

Appoint a contact person other than the couple to answer transport questions on the day.

And the couple's car?

The couple's transport should be organized separately from guest transport. Check who is driving, where the vehicle will park and at what time it needs to be available between the different stages.
