African caterer for a 300-guest wedding: menus, quantities and logistics

By Admin·

In an African wedding, the meal is not just one item among others: it is often what guests talk about most when they leave. And when the guest list reaches 300 people, or more, the kitchen becomes as much a matter of logistics as of flavors. Here’s how to choose a caterer up to the task, compose a menu that brings both families together and ask the right questions before signing.

A menu that reflects both families

Start from the origins

African cuisine does not exist in the singular. A Senegalese family will expect a thiéboudienne or a yassa; an Ivorian family attiéké, grilled fish and alloco; a Cameroonian family ndolé or poulet DG; a Congolese family pondu or chicken in moambe sauce; a Nigerian or Ghanaian family their jollof rice. When the two families come from different countries, the simplest solution is to build the buffet around two or three signature dishes from each side, rather than mixing everything. For ideas of dishes by origin, see our article on the menu of an African wedding.

Starters, main courses, sides

A balanced menu for a large wedding generally includes:

  • easy-to-serve starters: fritters, skewers, pastels, accras, samosas;
  • two to four main dishes, with at least one meat, one fish and a meat-free option;
  • generous sides: rice, attiéké, fried plantain, fufu, cassava, vegetables;
  • sauces and chili served separately so each guest can season to taste;
  • desserts: fresh fruit, sweet fritters, cakes, and often a tiered cake.

Drinks

Bissap, ginger drink, bouye (baobab) juice or soursop juice: homemade juices appeal to all ages and often cost less than bottled sodas. Ask the caterer if they provide them, in what quantities and in which containers. If the venue enforces its own bar, check the conditions for bringing in external beverages.

Quantities for 300 guests

Count accurately… and a bit extra

At many African weddings, the actual number of guests exceeds the list: unannounced children, cousins arriving late, neighbors invited by relatives. Talk about this openly with the families and ask the caterer for a 5 to 10 % margin above the confirmed number. Our method for managing the guest list and RSVPs helps establish a reliable figure.

Think in portions, not in pots

Ask the caterer for their per-person grammage: meat or fish, starches, sauce. A quote that talks about “a large pot of thiéboudienne” does not allow comparison; a quote that indicates the number of portions does. At a buffet, guests take more starches than you might expect, especially late in the evening.

Children

Plan a child rate and, if possible, a less spicy dish. Indicate their number separately on the quote.

Buffet, plated service or shared dishes on the table?

The buffet

This is the most common format for 300 guests. It requires several buffet lines to avoid queues: count roughly one line for 80 to 100 people, served by staff rather than self-service, to control portions.

Plated service

More elegant, it requires more staff and a kitchen equipped to plate hundreds of hot dishes at once. Ask how many servers the caterer plans and for how many hours.

Shared dishes on the tables

Some caterers place shared dishes on each table. It’s convivial and fast, provided the tables aren’t too large and there are hot plates or burners to keep the dishes warm.

Logistics that make the difference

The venue kitchen

Before signing, check what the venue provides: a fully equipped kitchen or a simple office, cold rooms, ovens, dishwashing sinks, powerful electrical outlets. A caterer who cooks everything on site does not have the same needs as a caterer who delivers dishes to be reheated. Put them in contact as soon as you reserve the venue. If you are still looking for the place, our guide to finding a venue for 300 guests details the questions to ask.

Equipment

Plates, cutlery, glasses, tablecloths, chafing dishes, trays: specify who provides what. Disposable tableware is cheaper but shows in photos; renting tableware requires a clean return or a dishwashing fee.

Timings

African weddings often start late and continue into the night. Agree with the caterer on the serving time, the duration of staff presence and the cost of an extra hour. A two-hour delay in the schedule should not turn the main dish into a lukewarm plate.

Hygiene and leftovers

The caterer must keep hot dishes above 63 °C and store cold dishes in refrigeration. For health reasons, many refuse to let leftovers leave the venue; if you insist on taking them, agree in advance on the conditions and containers.

Comparing quotes

A good quote specifies the detailed menu, the number of portions, staff and their hours, equipment, delivery, setup, cleaning, VAT and payment schedule. Request a tasting before signing, ideally with a member of each family. On DreamWeds, you can compare the African caterers who publish their prices, then send them the same request at once. Frequently asked questions

How much does an African caterer cost for 300 people?

Prices vary widely depending on the menu, the service and the region. Compare detailed quotes for the same number of portions and the same service level, including staff.

Do you need two caterers when the families have different origins?

Not necessarily. Many caterers cook several African cuisines; request a tasting of each family’s dishes. Two caterers remain possible if the venue and service logistics allow it.

How far in advance should you book the caterer?

Ten to twelve months in advance for a summer Saturday, longer for the most in-demand caterers.

Can we bring some of the dishes ourselves?

Some caterers accept it, others do not, for insurance and hygiene reasons. Ask before signing and include it in the contract.
